Our Policies

Booking & Payment Policy

A deposit is required to secure your event date and rental equipment. Bookings are confirmed only once a signed agreement and deposit are received. The remaining balance is due before or on delivery unless otherwise agreed.

Deposit & Cancellation Policy

A deposit is required to secure your booking. If the event is cancelled 60 days (2 months) or more prior to the event date, the deposit will be refunded. Cancellations within 60 days of the event will result in the deposit being non-refundable. Once equipment has been delivered or set up, no refunds will be provided.

Rental Period Policy

Rental rates are based on a single event use unless otherwise specified. Extended rental periods may incur additional charges. Equipment must be ready for pickup at the agreed time, or additional fees may apply.

Delivery, Setup & Pickup Policy

Delivery, setup, and pickup are included unless otherwise stated. The client must ensure clear, safe, and accessible entry to the setup area. Additional charges may apply for stairs, long distances, restricted access, or special requirements.

Damage, Loss & Cleaning Policy

The client is responsible for all rented items from delivery until pickup. Any damage, loss, or theft will be charged at replacement or repair cost. Items must be returned in the same condition; cleaning fees may apply for excessively dirty items.

Weather & Outdoor Event Policy

Outdoor events are subject to weather conditions. Prairie Party & Tent Rentals Ltd. is not responsible for weather-related disruptions. Setup or removal may be delayed or adjusted for safety during severe weather conditions.

Liability Policy

The client assumes full responsibility for the use of rented equipment. Prairie Party & Tent Rentals Ltd. is not liable for any injuries, damages, or losses resulting from use of rental equipment during the rental period.

Site Preparation & Permits Policy

The client is responsible for ensuring the site is level, safe, and ready for installation. Any required permits, approvals, or utility markings must be arranged prior to setup.

Order Changes Policy

Order changes must be requested in advance and are subject to availability. Once items are reserved or prepared, reductions may not reduce the total contract value.

Equipment Use Policy

All equipment must be used only for its intended purpose and at the agreed location. Misuse, relocation, or unauthorized handling may result in additional charges or liability.
